The TaxNoticeSolution™ team will contact customers, proactively, as we near each tax notification season.
• | An initial e-mail communication will be sent to the contact of whom the original contract is established. This e-mail will prompt the TaxNoticeSolution client to register / sign-up for an account at www.taxnoticesolution.com. |
▪ | Your account will show Not Authorized in the NAVIGATION menu. This is normal. Once payment is received, by our accounting group, your account will be authorized. |
• | An e-mail will be sent to the registered Main Contact in December to select a print & mail cycle and prepare for 1098 / 1099 processing. |
• | Likewise, an e-mail will be sent to the registered Main Contact in the March timeframe for 5498 processing. |
|
Anticipate the following communications via e-mail....
• | Special Data Entries: IRS publications / standards allow for "special data entries" fields. This communication will be made available soon in the November time-frame each year. Ensure that your core vendor is aware of these fields, which coincide with IRS publications documentation. |
• | Proof / No-Mail: Customers may request specific notices, via Tax ID, to be excluded from mailing. These excluded forms will be shipped back to the client via FedEx, along with the archive CD. Using this same form customers may request specified notices to view in the "proofs" posted for review prior to moving tax notices into production for process, print, and mailing. Click here to download the "Proof / No-Mail" .csv file. Populate and simply upload along with your tax notice file. |
• | Cycle Selection: Customers are informed when cycle selection is "open" in preparation for 1098/1099 processing; usually in early December. At this point a registered user can navigate to www.taxnoticesolution.com and select a print & mail cycle. Once payment has been received your account will be approved (Authorized) for upload of your tax notice file after cycle selection is made available. |
• | Shipment: Once final proof approval is completed customers will be notified of mailing date and informed that the archive CD has shipped, via FedEx. Typically, the archive CD arrives the next day. |

We want to keep an open line of communication throughout the process. You can reach us via e-mail or phone.
IMPORTANT: Please be aware that customer inquiries are heavy during processing time. The absolute best method of communication is via e-mail. Use good judgment as the urgency of your issue demands. If you have an extremely urgent item / question feel free to call.
